Job Summary:
Responsible to supervise the activities of the Site/Campus Custodial cleaning Team to ensure that the quality of cleaning within Apotex Inc. buildings is according to established Standard Operating Procedures (SOPs), Safe Work Procedures (SWPs), Current Good Manufacturing Practices (cGMPs), and any other pharmaceutical, regulatory requirements.
Job Summary
The Site Supervisor is accountable for the performance of the assigned site or campus service operation. The role supervises custodial, janitorial, facilities support and related service delivery activities to ensure cleaning quality, safety, regulatory compliance, client satisfaction, contract performance, KPI achievement and continuous operational improvement. The Site Supervisor manages day-to-day priorities, budgets, schedules, subcontractors, reporting, documentation, client communication and people leadership responsibilities while ensuring work is completed in accordance with Standard Operating Procedures (SOPs), Safe Work Procedures (SWPs), applicable pharmaceutical or client requirements and company policies.
Key Responsibilities
Site Operations and Service Delivery
- Own daily site performance and ensure the operation runs safely, efficiently and in alignment with client expectations, contract requirements and work specifications.
- Supervise and coordinate custodial, janitorial, grounds, and related facility services for the assigned location.
- Manage day-to-day scheduled and unscheduled work priorities; assign work to employees and arrange outside contractors or subcontractors as required to complete work in a timely and cost-effective manner.
- Inspect the worksite daily and continuously monitor service delivery to ensure quality assurance standards, work specifications and required service levels are met.
- Provide operational support and technical advice during plant shutdowns, maintenance activities, service disruptions and other business-critical requirements, as required.
- Drive cost efficiencies, troubleshoot problems, proactively resolve issues and support improvements to standards, work schedules, staffing models and service delivery practices.
Client, Contract and KPI Management
- Maintain a positive client relationship through regular contact to discuss concerns, report deficiencies, obtain new assignments and ensure service expectations are understood and met.
- Lead contract compliance activities and support KPI performance management in accordance with contract expectations.
- Compile required information for monthly client update meetings and support Quarterly Business Review preparation, including agenda updates and evidence of service performance aligned with client corporate objectives.
- Act as a key liaison and communicator with other departments, customers, staff, contractors and business partners.
People Leadership and Workforce Management
- Supervise Shift Coordinators, Working Team Leads, Custodians and assigned site staff, including recruitment, onboarding, training, development, coaching, recognition and performance management.
- Develop and maintain janitorial staffing schedules, including 24/7 cleaning schedules where applicable, and adjust staffing plans to meet business and client needs.
- Control budgeted labour hours and site expenses for the assigned location and authorize overtime as appropriate within delegated authority.
- Participate in and lead performance conversations, including monthly one-on-ones, to support progress against objectives, remove barriers, reinforce expectations and build a high-performance culture.
- Administer appropriate corrective or disciplinary action when necessary and ensure employee requests for paid or unpaid leaves of absence are handled in accordance with policy.
Compliance, Safety and Quality
- Ensure work is performed in accordance with established regulatory, compliance and safety requirements, SOPs, SWPs, and company policies.
- Ensure site safety compliance, conduct monthly safety audits, provide safety updates and communicate site condition information to direct reports and contractors.
- Ensure all personnel work safely, safety concerns are addressed promptly and equipment is maintained in safe working condition.
- Report all accidents and property damage in accordance with company policy, client requirements and contract requirements.
- Review and approve documentation, including service reports, logs and related records, to ensure compliance with SOPs and service requirements.
- Ensure custodians are trained on approved cleaning agents, usage and dispensing requirements, and ensure required training records and compliance documentation are maintained.
Inventory, Procurement and Financial Administration
- Supervise inventory ordering and management for non-GMP supplies, grounds maintenance materials and new employee training requirements in conjunction with the Shift Coordinator or assigned support roles.
- Implement and monitor maintenance and procurement of subcontractor services, schedules and installations.
- Verify completed work is of high quality and review or approve applicable service reports and site invoices within assigned authority levels.
- Manage budgets, monitor expenditures and support financial discipline for the assigned site.

Job Requirements
Education
- Minimum Grade 12 education required.
- College diploma or university degree preferred; post-secondary education in a related field is an asset.
Experience
- Minimum five (5) years of leadership experience in a cleaning operation; experience in a large facility is preferred.
- Proven supervisory experience in facilities management, preferably in a food, pharmaceutical, consumer goods or regulated environment.
- Previous commercial, industrial, manufacturing, pharmaceutical, healthcare, or institutional cleaning experience is preferred.
- Demonstrated experience with facilities contract governance, compliance, service delivery and KPI management.
- Experience managing budgets, monitoring expenditures, coordinating subcontractors and controlling labour hours is an asset.
Knowledge, Skills and Abilities
- Good knowledge of Good Manufacturing Practices, preferably from a pharmaceutical or consumer goods environment.
- Knowledge of safety compliance, audit procedures, safe work practices and quality assurance standards.
- Strong leadership, supervisory, coaching and employee development skills.
- Excellent communication, interpersonal, organizational, time management and detail-oriented skills.
- Ability to manage client relationships, resolve issues, support business reviews and align service delivery with client expectations.
- Technical knowledge of janitorial operations and related facility operations services.
- Good knowledge and use of MS Outlook and MS Office; skilled with Excel, Word, Outlook, PowerPoint and Teams.
- Self-motivated, proactive and able to manage shifting priorities in a fast-paced site environment.
