Job Summary

Working with the Facilities Services Coordinator and accountable to the Operations Manager, the Administrative Assistant provides general administrative support to the Facilities Team and provides client liaisons services. The administrative assistant is a punctual and reliable employee responsible for onsite duties during regular hours while also acting as the primary back-up for reception, concierge and mailroom services. This individual is a team player who takes initiative, anticipates needs, and is flexible and adaptable in different situations and environments. It is the Administrative Assistant’s responsibility to represent the company in a professional and courteous manner and to provide five-star customer service to all visitors and staff in all communications.
Now, if you were to come on board as a Receptionist, we’d ask you to do the following for us:

Reception – direct and assist visitors, answer incoming calls and direct as appropriate to head office employees (300+

Assist Facilities team with the coordination of various presentations and reporting documents and various SOW and KPI requirements.

Attends various meetings, records and distributes minutes as required.

Assists with tracking, organizing and filing documentation.

Assist with daily administrative functions for Facilities team.
-
Assists with external building services, directing contractors, and providing updates regarding service requests via ticketing system, phone or email as required.

Assists with back-up of Reception desk duties and Concierge Services during breaks/meetings/time-off as required.
-
Back-up to Facility Coordinator during breaks/meetings/time-off as required.
-
Point of contact for inquiries and requests regarding booking space, ordering/setting up catering, facility upkeep/concerns.

Coordinate catering: plan, organize and book using existing system.
